Driver qualification files
Every driver needs a file: application, driving records, road test or CDL, yearly review and medical card.
TRUCKING COMPLIANCE SOFTWARE
Driver files, new hires, drug and alcohol testing, pre-trips, maintenance, annual inspections and IFTA. MT handles it top to bottom.
NEW DRIVER ONBOARDING
A driver applies online. MT reads it and starts the pre-employment investigation right away, then follows the protocol step by step. All of it happens before the driver gets in the truck.
OWNER-OPERATORS COMING ON
An owner-operator comes on the same way a new driver does. Then MT sets up the truck: pre-trip inspections, the maintenance file and the annual DOT inspection.
THE TRUCK’S FILE
FMCSA RULES IN PLAIN ENGLISH
Every driver needs a file: application, driving records, road test or CDL, yearly review and medical card.
A signed application, then a check of 3 years of driving records and 3 years of past employers.
Pull and review each driver’s driving record, and run a Clearinghouse query on every driver.
Drivers must be medically certified, and the card lasts up to 24 months.
A negative drug test before driving, random testing through a consortium, and Clearinghouse queries.
Check the truck before driving, report defects at the end of the day, fix them before it rolls.
Every unit you control is inspected, repaired and maintained on a schedule, with a file to show it.
Each truck and each trailer passes a DOT inspection at least once every 12 months.
Interstate trucks report miles and fuel by state on a quarterly fuel tax return to the base state.
LFS AOS is trucking compliance software built into the AI logistics operating system. MT handles DOT compliance top to bottom: driver qualification files, new driver onboarding, drug and alcohol testing, pre-trip inspections, vehicle maintenance, annual inspections and IFTA. Here’s how it works.
Compliance is built into LFS AOS. MT, your AI coworker, handles it top to bottom: driver qualification files, new hires, drug and alcohol testing, pre-trip inspections, vehicle maintenance, annual inspections and IFTA.
It’s the file a motor carrier needs for every driver it employs. It holds the driver’s application, the driving record (MVR) from each state, the road test certificate or the CDL accepted in its place, the yearly driving record and review, and the medical examiner’s certificate (49 CFR 391.51). MT builds it as the driver comes on and saves it to the driver’s file in LFS AOS.
The driver fills out the online application. MT reads it and immediately starts the pre-employment investigation, then follows the protocol: Clearinghouse query, drug test, drug consortium, medical card and road test or CDL. All of it happens before the driver gets in the truck, and all of it is saved to the driver’s file in LFS AOS.
Name, address, date of birth and Social Security number, every address for the past 3 years, each commercial license, driving experience and equipment, accidents and traffic convictions for the past 3 years, any license suspension, and employers for the past 3 years. CDL drivers also list CMV driving jobs for the 7 years before that. The driver signs that it’s true (49 CFR 391.21).
Two checks on every new driver: the driving record (MVR) from each state where they held a license in the past 3 years, and their safety performance history with DOT-regulated employers from the past 3 years, including any drug and alcohol violations (49 CFR 391.23). MT starts both the moment the application comes in.
Yes. A driver can’t do safety-sensitive work until there’s a verified negative drug test (49 CFR 382.301). MT puts the test on every new hire’s protocol and saves the result to the driver’s file.
A consortium runs random drug and alcohol testing for many companies in one pool. An owner-operator who is their own only driver has to be in a random testing pool with other drivers, and a consortium is how that works. MT sets new drivers and owner-operators up in one during onboarding.
Before a driver does safety-sensitive work, the employer runs a full query of FMCSA’s Drug and Alcohol Clearinghouse with the driver’s consent, and then queries every driver at least once a year (49 CFR 382.701). MT puts both on the protocol, so nobody is missed.
At least once every 12 months, pull each driver’s driving record from every state they’re licensed in and review it (49 CFR 391.25), and run the yearly Clearinghouse query. The medical card has to stay current too, and it lasts up to 24 months (49 CFR 391.45). MT tracks every date and handles each one on time.
Before driving, the driver makes sure the truck is safe, reviews the last inspection report if it listed defects, and signs it (49 CFR 396.13). At the end of the day, the driver reports any defect in the brakes, steering, lights, tires, horn, wipers, mirrors, coupling, wheels or emergency equipment (49 CFR 396.11). In LFS AOS, defects go to repair and are certified fixed before the truck rolls again.
Every truck and trailer you control has to be inspected, repaired and maintained on a schedule. Its file shows the unit (number, make, serial number and year, and the owner if it isn’t yours), what’s due and when, and what was done and when (49 CFR 396.3). MT builds that file for every unit, owner-operators’ trucks included.
Every commercial vehicle, including each trailer in a combination, has to pass a periodic inspection at least once every 12 months, with proof on the vehicle (49 CFR 396.17). MT tracks each unit’s due date and saves the inspection to the truck’s file.
Yes. If your truck has 3 or more axles or weighs over 26,000 pounds and crosses state lines, you file a quarterly IFTA fuel tax return with your base state, showing the miles driven and fuel bought in each state. Returns are due April 30, July 31, October 31 and January 31. MT handles it, using your drivers’ fuel receipts and the miles from every load.
The same way a new driver does, plus the truck. MT runs the onboarding, then sets up pre-trip inspections, the vehicle maintenance file and the annual DOT inspection, all saved to their file in LFS AOS.
BUILT FROM THE WORK
Carrier, broker, dispatcher and the money behind the truck: every side of the circle.
There’s nothing else built like this. LFS AOS was made for one purpose: to keep the carrier alive, and then help it thrive.
